How to use workflow

This Knowledge Base article explains the Editorial > Workflow feature and how users may use Workflow.

Create article

A user with Article Manager privileges will log into Continuum and go to Editorial > Articles and create a new article.


At minimum:

  • Enter a Headline
  • You need to add at least a space into the Body field (it’s required)
  • Set an appropriate Publish At date/time OR remove the default date (you can remove this date at the system level by changing ‘default.post.date.enabled’ to false)

You may also:

  • Set a Due At date/time
  • Leave notes about the article
    • The notes do not get published but will display on the Workflow “Unclaimed Articles” tab when Workflow is enabled.

Save the article. At this point you will see the Workflow information at the top of the article page.
On the left you will see the Originated by and Assigned to information

On the right are the Current Step and Workflow buttons that display depending on the user’s permissions.

  1. If the article is not currently assigned to anyone, it can be claimed by the current user
  2. Exit Workflow will take the item out of the workflow list
  3. If the user has Override permissions, clicking this will allow the current user to assign the article to another user based on the role associated with the Current Step
  4. Click on the 3 dots in the gray box to expose the History button. Click on that to show the workflow history


Option 1 - Leave the article unclaimed

If your job is only to create articles or pitch an article idea, then once the article is saved, you can click out of the article.
The article will show on the Workflow Unclaimed Articles tab (see below) and can be claimed by another workflow user.


Option 2 - Claim the article and Assign
At this point, you can click on the Claim button. This will assign the article to you and display the Assign Workflow button, which will allow the article to be assigned to the next step in the workflow process.

When assigning the workflow to a user, you can include a note that will be sent as an email to the selected user. You can choose whether to also receive an email by setting ‘workflow.notify.assigner.enabled’ to true.

View Articles in Workflow

When Workflow is turned on, a Workflow link appears at the top of the Editorial section in the left navigation.
Click on this link to see three tabs - All Articles, My Articles and Unclaimed Articles.

All Articles

This tab is the hub of Workflow management with full search functionality to help manage your workflow.

  • Filter search by Author, Assign To, Current Step, Due Date, Topics. Note - articles that have exited the workflow are hidden by default. To include them in your search, uncheck the Hide Exited Workflow Articles before you click the Filter Search button.
  • Table fields: Headline, Due Date (sortable), Authors, Topic, Published (sortable), Current Step (sortable), Assign To (sortable), Locked
  • Inline image will be previewed
  • Toggle to show articles that have exited the workflow
  • Expand the + to show whether the article has been assigned to appear in a newsletter or publication
  • Export the filtered list for a csv file that includes ID, Headline, Author, Topics, Publish Date, Workflow Step and article URL

My Articles

This tab shows any articles assigned to the logged-in user. It is sorted by earliest Due Date so a user can see at a glance exactly what’s next up on their plate!


Information displayed includes the Headline and Teaser, Due date (if set), Created, Updated, Published dates, the Current Step the article is in, the Author and Locked status.


In addition, if the article has been added to a Publication or Newsletter, the association will show up in the expanded section of the article. Click on the + sign to expand.

Unclaimed Articles

This tab consists of the pool of articles that have been created but not yet claimed. Users can come to this pool of articles, click on an article of interest to open it in the Article Editor and then Claim the article for themselves. This view shows the Notes field for quick appraisal of the expectations of the article.
